What Impact Will You Have?
As our HR Admin & Operation Specialist, you’ll be a key point of reference for our Italian team. You’ll help ensure that everything runs smoothly behind the scenes, from onboarding new hires to ensuring payroll accuracy, so employees can focus on their work with confidence.
Reporting to the Global HRBP, you’ll work across compliance, administration, and employee support, with a strong focus on local execution.
This role is designed to evolve, with opportunities to broaden scope over time depending on business priorities and individual interests.
Responsibilities:
Payroll & Compliance
- Payroll Management: Manage monthly payroll preparation, coordinating with the external Labor Consultant and Labor Lawyer to ensure accurate and timely processing.
- Employee Accounts & Benefits: Coordinate with accounting to verify all employee data and accounts related to benefits, deductions, hiring, terminations, time-off requests, and paycheck inquiries.
- Tax Compliance: Maintain Italian payroll tax accounts, including setup and ongoing compliance with state and local withholding obligations.
- Vendor Liaison: Act as a liaison with the payroll provider to ensure all appropriate actions are being taken to maintain compliant processes and solutions.
- Employee Support: Assist employees with payroll and expense inquiries, providing accurate and timely guidance.
- Compliance: Ensure HR policies and practices comply with Italian labor law and regulations.
- Employment Law: Monitor regulatory changes and support updates to internal policies.
Employee Lifecycle & Administration
- Lifecycle Management: Support onboarding and offboarding end-to-end, ensuring a smooth employee experience from day one.
- Employee Records: Maintain accurate and up-to-date contracts, payroll data, and documentation.
- Employee Relations: Support employee relations topics as needed.
Processes & Systems
- Process Improvement: Identify opportunities to streamline workflows across ATS, HRIS, and payroll systems.
- People Data: Ensure data accuracy across systems and support reporting on headcount, absenteeism, and budgets.
Office Operations & Collaboration
- Health & Safety: Coordinate occupational health requirements (Medicina del Lavoro) and mandatory documentation supporting the Safety function.
- Office & Culture: Support local events, manage office supplies and employee perks.
- Cross-team Collaboration: Partner with Finance, Safety, and other teams to ensure smooth operations.
Required Skills
- 3–5 years of hands-on experience in Italian Payroll & Personnel Administration specifically within the Italian market.
- Proven experience acting as the primary point of contact for Labor Consultants and Labor Lawyers.
- Data management proficiency for auditing payroll data, managing budgets, and generating complex reports.
- Strong proficiency in Excel and HR/payroll systems (Zucchetti preferred)
- Ability to manage high-volume administrative tasks with a strong focus on accuracy and detail
- Must possess the legal right to work in Italy
- Italian and English mastery required.
Nice to have
- Experience participating in (or leading) an HRIS migration or implementation.
- Previous experience within the Aviation sector.
- Master’s Degree in HR, Law, or Business Administration preferred.
- Proficiency in ClearCompany and UKG is desirable.

Contract & Work Conditions
- Contract Type: Permanent contract, CCNL Trasporto Aereo.
Level and salary to be determined based on experience.
- Working Hours: Flexible working hours, typically between 9:00 AM and 6:00 PM, Monday to Friday
- Work Mode: Hybrid
- Workplace Location: Piazzale Ovest, Linate Airport (MI).
