Workfront Specialist

Location: Cleveland, OH

Flexjet and its world of sister brands are seeking an advanced process and structured thinker to be their Workfront Specialist. This position will lead the development, optimization, and ongoing management of the Workfront platform within the Flexjet Global Marketing Department and guide their overall creative process.

The role will be responsible for designing and implementing streamlined project workflows, automating processes, and ensuring seamless project tracking to enhance collaboration and efficiency across global teams. This position will be situated under Flexjet’s globally recognized Creative Services team and will be an important catalyst in bringing the digital, events, design, production, PR, content, social, web development, and various other decentralized groups to a higher level of planning, performance, and output.

The ideal candidate will have a deep understanding of the Workfront platform or a very impressive, accomplished traffic coordinator background with a passion for project management, learning Workfront’s capabilities, and customizing the platform to meet the evolving needs of Flexjet’s rapidly growing marketing department.

The candidate will serve as the go-to expert for process discovery and development, system enhancements, troubleshooting, training, and driving operational excellence across marketing campaigns, creative production, and all channel-specific projects. A successful candidate will have a systematic mindset but hold a deep appreciation and mindfulness for creative development.

CORE RESPONSIBILITIES

Platform Development & Implementation

  • Design, configure, and build out Workfront to support the Global Marketing Department’s project workflows, campaign planning, content production, and approval processes.

  • Customize dashboards, reports, and templates to provide clear visibility into project timelines, resources, and performance.

  • Establish intake forms, request queues, and automation to streamline project submissions and task assignments.

  • Collaborate with department directors and managers to define system requirements and optimize the platform to align with team needs.

Regular Optimization & Maintenance

  • Continuously work with teams to refine and enhance workflows for improved efficiency and adapt to evolving department and business operations.

  • Monitor system performance and troubleshoot issues, ensuring smooth day-to-day functionality.

  • Regularly audit project structures, permissions, users, roles, and configurations to maintain an organized and scalable Workfront environment.

  • Research and implement new Workfront features or integrations to enhance productivity.

  • Stay regularly updated on Workfront updates and enhancements.

User Support & Training

  • Act as the primary Workfront Administrator and point of contact for internal teams.

  • Conduct training sessions and create documentation to help team members utilize Workfront effectively.

  • Provide ongoing user support, addressing questions, troubleshooting issues, and ensuring adoption of best practices.

  • Gather user feedback to continuously improve system usability and optimization.

Reporting & Data Insights

  • Develop real-time dashboards and reports to provide visibility into department operations, campaign progress, and resource allocation.

  • Analyze Workfront data to identify bottlenecks, optimize workflows, and support strategic decision-making.

  • Ensure accurate data tracking and reporting to support leadership with performance insights.

QUALIFICATIONS & SKILLS

  • 3+ years of experience administering and optimizing Workfront (or similar project/process management platform).

  • Strong understanding of marketing workflows, creative production processes, and campaign execution.

  • Experience designing custom workflows, automation, and reporting dashboards within Workfront.

  • Ability to translate business requirements into system configurations and improvements.

  • Strong analytical and problem-solving skills with heightened attention to detail.

  • Excellent communication skills to collaborate with marketing teams, leadership, and cross-functional partners.

  • Capable of taking complicated and situationally based scenarios to develop a Workfront solution.

  • Experience training and supporting users with varying levels of Workfront proficiency.

  • Familiarity with Workfront Fusion and system integrations is a plus.
